What the Trello personal planner is for

Trello's personal planner app is a place to put every to-do, idea and responsibility, work or personal, so that none of them sit in a separate note, chat or bookmark. The developer describes it as a way to build a daily planner of tasks and notes from a phone, using the same boards, cards and lists that Trello uses for team work.

It suits someone who keeps a personal task list and wants it on the phone with a visual board layout, and who also wants that list to sit next to their calendar. The listing presents it as a productivity tool for individuals rather than for a team.

Capturing tasks, emails and chat messages

Everything you capture lands as a card in the Trello Inbox, where you can review it, set priorities and move it onto a board. Capture can come from typed notes or ideas, a photo taken in the app, or an email forwarded to Trello. Messages from Slack or Microsoft Teams can also be saved into the Inbox.

Reminders can be added to cards in the Inbox. Cards carry due dates, comments, checklists, descriptions and attached files, so a saved message or email can be turned into a working task without retyping it.

Kanban boards, checklists and sorting cards

Cards are sorted into Kanban boards and lists, which can be customised to match how the work moves. Cards are rearranged with drag-and-drop gestures, and the app moves between boards with transitions the developer describes as smooth.

Checklists can be captured, edited and sorted on each card. To-dos from several boards can be viewed together in one place. No-code automation is built into each board, so repeated steps can run without being set up in code.

Calendar sync, daily planner and reminders

A Google or Outlook calendar can be connected, so scheduled events appear on the task board. The daily planner places top tasks alongside those events, so the day is visible in one view. Standard and Premium users can also turn on Planner to block out focus time for completing saved to-dos.

Push notifications can be set for personal tasks and daily to-dos. Alerts also fire for due dates and for changes to a card. A home screen widget lets you add items to a checklist without opening the full app.

Offline use and AI tools on paid plans

Notes and ideas can be captured, and boards updated, without an internet connection. Changes sync automatically once the device is back online. The app itself is free to download.

Paid subscriptions add AI features. These can summarise saved to-dos into a Trello card, and help generate, summarise and correct spelling and grammar in work or personal writing. They can also brainstorm new content from topics you supply, and the listing says the AI summary and daily planning streamlining features also depend on a subscription.
