What Expensify does and who it suits
Expensify is an expense tracking app that covers the whole path from a purchase to a reimbursement or a bookkeeping entry. The listing names four kinds of users: self-employed people tracking expenses for budgeting or tax, small business owners, growing teams with several approval levels, and larger companies that reimburse staff across countries.
What sets it apart is that chat sits alongside the money. Each expense, report, invoice and trip can have its own conversation, so questions about a charge are answered next to the charge itself. The features below are grouped by the task they serve.
Logging receipts, mileage and manual expenses
Photograph a receipt and SmartScan extracts the details from it. If there is no receipt, you enter an amount by hand. Mileage is logged on a map in miles or kilometers, with rates you set yourself.
Categorization is taught once. You code an expense, and the listing says the app learns to code similar expenses for you afterwards. Expenses can be submitted automatically as they are entered, or on a schedule you choose.
Approvals, reimbursements and trip rooms
Approvers can be added to a workflow, with more than one approval level where a company needs it. Anyone with a question about an expense can ask and approve in the same thread.
Employees can be reimbursed at home or abroad, and the listing says expenses can be managed in any currency. Each trip can have its own chat room for organizing its expenses and answering questions about them.
Corporate cards, invoices and travel booking
The Expensify Card is a Visa commercial card issued by The Bancorp Bank, N.A. The listing says it earns up to 2% cash back on US purchases. Teams can also import transactions from their own corporate or personal cards instead.
Invoices can be sent, viewed, discussed and paid inside a chat, so there is no separate email thread. Flights, hotels and rental cars can be booked within the app.
Accounting sync, integrations and account security
Expenses sync with accounting software, including QuickBooks, Xero, Sage Intacct and NetSuite. The listing also names integrations with Uber, Lyft, Delta, ADP, Gusto, Zenefits and Workday.
The listing states that account security includes two-factor authentication, and that the service holds PCI-DSS Level 1 and SOC 1 and SOC 2 Type II certifications.
